Certified document manager - filing system
The LoGo Document Manager system is Daten-Kontor's own thin-client based certified Document Manager - Filing Solution, by means of which the Document management and filing tasks of local governments, ministries, public institutions or any other organizations can be fully covered.
The solution was certified by CERTOP Termék- és Rendszertanúsító Ház Kft. (CERTOP Product- and System Certification Bureau Ltd.).
According to the result of the certification procedure, the system extendedly complies with the requirements of collective decree No. 24/2006. (IV.29.) of the Ministry of the Interior, Ministry of Information Technology and Telecommunications, Ministry of Education and Culture applicable at public organizations set with respect to document management software products.
By means of the system, incoming documents can be precisely traced from the moment of their recording to their selection for destruction. The services of the solution enable users to implement fully electronic document management, which terminates the movement of hard copies within the organization.
The main services of the LoGo Document Manager:
Receiving, mail openingSigning: Supporting the electronic signing of received Documents. The system sends a warning to the addressees about the signed documents and supports the electronic conveyance of the documents to the appropriate agent.Handing over and taking over documents: It is a function supporting the tracing of the movement of documents within the organization, by means of which you can precisely trace who has the documents for what purpose, and whether the appropriate document has reached all necessary staff before filing.Filing: The solution supports all activities related to filing, which are ordered by collective decree No. 24/2006. Filing is possible for main number and sub number. In the course of filing, you must record the archiving item number and the main features of the document. The software supports efficient search, the conveyance of the document to the agent, assigning due dates to the document, moving the document to the archives or the records.Selection for destruction: You can compile the appropriate discarding lists and documents on the basis of discarding rules and dates that can be recorded in the system in advance (as specified in the filing plan).Scanning support: You can connect or integrate a high-performance scanner to the system if need be. By means of the scanner, the document is at disposal in an electronic format too, thus the documents are available at any time and there is no need to move the documents physically during administration. Due to scanning support, entirely electronic document management can be implemented.Querying statistics: The system can be set and it ensures a flexible query interface for the users, by means of which permanent statistics compiled on the basis of current needs can be generated.Customer master data: The system has customer master data that can be maintained manually or loaded in bulk from other databases.Dispatching: The registration of documents generated in the institution or dispatched from there is as important as that of the incoming documents. You can register which documents and when were dispatched to whom. The system helps you to keep the mail register and to register the returned acknowledgements of receipt.
Although the LoGo Document Manager system can be regarded as an off-the-shelf, ready-made solution, it is
expressly flexible and easily integrable to other systems owing to its design and structure. It is also guaranteed by Daten-Kontor as the sole developer of the system. This way we can integrate further development to the certified system components.
The flexibility of the system is ensured by a thin-client structure based on a three-layer architecture, due to which the user will have the following advantages:
Document management via a WEB browser: Because of the thin-client design, there is no need to install any software products whatsoever on the users' PCs. All the functions can be accessed via WEB browsers such as Internet Explorer and FireFox. The application runs on a specific application server and this fulfils the users' needs. At the same time this means that those users who have the appropriate authorization can access the application from any PC within the network.Central data storage and data protection: As no software products are installed on the client PCs, no data are stored on the computers. All data are stored on the central server and you can save them from here.Flexible authorization management: due to the flexible authorization management, several user roles can be created. Users' rights can be limited even to the extent of function buttons.Central version management: The system can be updated only on the central application server and all changes will immediately be implemented on the users' PCs without the need for performing any installations on the clients PCs.Customizable user interface: The functions which cannot be accessed by a certain user do not even appear on his/her user interface. The user interface can be customized to the company image and needs in a short time.
By means of the system,
customers and external users can launch transactions via the WEB portal. The completed forms arriving through the portal are automatically recorded and thus the administration process can start. The system
can handle electronic signatures as well so it also supports the launching of transactions to which the authentication of customers is necessary.
